1. Access Visit Type Settings
- Navigate to the Admin Console.
- Go to Application > Schedule (or search “Schedule” in the search bar).
- Select the Visit Types section from the configuration menu.

2. Create or Edit a Visit Type
For each appointment category, configure the following fields:
- Name the Visit: Enter the name (e.g., “Established Patient”) in the Visit type required field.
- Set the Duration: Define the length of the appointment in minutes.
- Assign a Color: Use the Color picker to choose how this appointment appears on the calendar view.
- Enable the Status: Ensure the Enabled box is checked so the visit type is active and available for scheduling.
3. Configure Patient Portal & Recurring Options
- Patient Self-Scheduling: Check Allow for patient scheduling if you want this visit type to be available in the patient portal.
- Set Recurrence: If the visit is a repeat appointment, check Recurring and set the frequency and total number of visits.
- Important Note: Recurring appointments do not automatically adjust based on calendar availability. For example, a visit set for every 2 days starting Friday will schedule the next one on Sunday, even if the facility is closed.
4. Provide Optional Details
- Description: Add a short description to clarify the purpose of the visit type for other staff members.
5. Order Visit Type display
- The visit type order in Admin Console sets the schedule display when scheduling and appointment.
- In the Visit Types table, use the Order column to manually adjust the sort order.
Pro-Tip: Integrating Visit Types into Schedules
Once your Visit Types are created, they will appear in the dropdown menu within the Weekly hours section. You can then assign these specific visits to certain time blocks to ensure, for example, that “Telehealth” appointments only happen on Tuesday afternoons.
