ADMIN - Create and Manage Users
Add and manage staff accounts in OpenCoreEMR.

Before you begin
You need access to the Admin Console and permission to manage user accounts.
If the Staff option is not visible, confirm that your account has the required administrative access.
How to add a new user
- Open the Admin Console.
- Go to Staff.
- Select Add User.
- Enter the required information:
- First name
- Last name
- EMR role
- Add any additional information, such as supervising provider, NPI, DEA, qualifications, and default billing facility.
- Select Save to create the user account.
A user’s email address will be their username.
How to edit an existing user
- Open the Admin Console.
- Go to Staff.
- Click on any existing user to edit.
- Select Save to save any changes.
How to inactivate a user
- Open the Admin Console.
- Go to Staff.
- Select the user account.
- Change the status of the user from Active to Inactive.
Understanding what you’re looking at
User fields
| Field | What it means |
|---|---|
| Username | Username for login. This field should be the user’s email address. Required |
| First name | User’s first name. Required |
| Middle name | User’s middle name |
| Last name | User’s last name. Required |
| User’s email address. This field will also be the username. Required | |
| Phone | User’s phone number |
| Gender | User’s gender |
| Status | Account status of active or inactive. Required. Default = Active |
| Communication languages | Which languages the user is fluent in |
| Supervising provider | User’s supervising provider. Supervising provider must exist as a user in the system |
| EMR role | User’s role in the EMR, e.g. Front desk, Provider, Billing, Administrator. Required |
| Ensora eRx role | Role for Ensora ePrescribing. Required for eRx |
| Practitioner role | Roles that a practitioner may perform |
| Show on calendar? | Determines whether user will display on the calendar schedule view |
| Service facility | Service facilities of the practitioner with option to specify a default/primary. This field is important for insurance billing. |
| Default billing facility | Default billing facility of the practitioner. This field is important for insurance billing |
| Payer compatibility | Provider-accepted insurance. This field may be used by the scheduling rules engine |
| NPI | NPI number |
| Credential/Degree | Practitioner’s credentials such as MD or NP |
| Type | Qualification type, e.g. State license, DEA, PTAN, Other - Specify |
| State | Applicable state for the related qualification |
| Identifier | Qualification identifier number, e.g. state license number |
| Effective date | Qualification active start date |
| Expiry date | Qualification expiry date |
| Telehealth link | User’s telehealth meeting room link. This link is associated to the user and is not appointment specific |
| Time zone | User’s time zone |
| Treatment age range | Custom attribute to specify the patient age range that this practitioner treats. This field may be used by the scheduling rules engine |
| Visit type | Custom attribute provider’s allowed visit type(s). This field may be used by the scheduling rules engine |
