ADMIN - Create and Manage Facilities

Add and manage facilities in OpenCoreEMR.

Before you begin

Facilities is a physical or virtual place where patient care is given. If your practice operates with multiple TIN numbers, each TIN should configured as a separate facility.

You need access to the Admin Console and permission to manage facilities.

How to add a new facility

  1. Open the Admin Console.
  2. Go to Facility.
  3. Select Add Facility.
  4. Enter the Facility name. This is a required field.
  5. Add any additional information such as physical address, mailing address, contact details, organization type.
  6. Select Save.

Certain features like insurance billing or eRx require additional fields to be filled out beyond the basic.

How to edit a facility

  1. Open the Admin Console.
  2. Go to Facility.
  3. Highlight on the facility and select Edit.
  4. Update facility details and select Save

How to inactivate a facility

  1. Open the Admin Console.
  2. Go to Facility.
  3. Enter the facility to Edit.
  4. Change the status of the facility from Active to Inactive.

Service locationIf facility is considered a service location.
Org typeKind of organization
Facility taxonomyFacility’s NUCC taxonomy. Required for insurance billing
POS codePlace of service code, e.g. 11 - Office. Based off CMS POS code set and required for insurance billing
CLIA numberCLIA number if facility is a lab
Tax IDTax identification number. Required for insurance billing
Facility NPIFacility NPI. This may be Type 1 or Type 2 depending on your organization structure.

FAQ

Which NPI do I use for Facilty NPI? Use NPI Type 2 if incorporated sole practitioners, single/multi specialty groups, and licenced facility. Use NPI Type 1 if you are a sole proprietor.

Which fields are required for insurance billing and submitting claims? Insurance billing requires the following fields:

  • Name
  • Physical address (zip code must be 9 digits). PO boxes not allowed.
  • Place of service
  • Facility taxonomy
  • POS code
  • Tax ID (EIN or SSN)
  • Facility NPI
